Terms and conditions
It is agreed that the terms set out in this booking form is the total agreement made between both parties and that no variation or modification of this contract shall be effective unless agreed by both parties in writing.
Booking process
Afterglow Events will use the booking query and make a provisional booking entry in the events diary. The booking contract will be sent out for completion and signing, to be returned within 14 days, along with the deposit. We will not take another booking for the event date during this 14 day period. The booking is only confirmed once a deposit is paid and a confirmation email has been received.
Receipt
When any payments are received an electronic receipt shall be sent to the customer as confirmation.
Deposit
A deposit of £150 of the total is due to secure any photo booth hire. This deposit is non-refundable.
Full Payment
The final payment of the outstanding balance is due no later than 30 days before the event. Failure to pay the invoice in full will result in the cancellation of the booking and the deposit forfeit.
Afterglow Events will accept payment instalments as long as the final payment is paid up to and including the 30 day cut off.
To increase the hire time of our booth, payment must be made before the additional hours are provided. Any additional time if not previously booked can only be provided at our discretion.
Special offers
All prices including any special offers are subject to change without notice. Once a booking is confirmed and a deposit paid the price is fixed and will not change.
Service period
Afterglow Events agrees to have the photo booth operational for a minimum of 95% of the hire time; which covers interruptions for maintenance of the photo booth.
Venue/Police/Council
Requirements by the venue management over-ride the client. If we are instructed to stop this will be followed. Most commercial venues have an entertainment licence cut off time, which must be observed/adhered to. If the event is interrupted by the police/local authority, we will follow any advice or instruction given by them (including to stop the use of the booth). There will be no refunds given under these circumstances for early finishing.
Cancellation/Re-schedule by client
All deposits are non-refundable. Should the event be cancelled/re-scheduled with less than 30 days' notice the full payment will remain payable. If the client wishes to re-schedule this must be done via e-mail and before the 30 day cut off. Once informed Afterglow Events will check availability and try to accommodate the new date. If there is no availability for the alternate date the deposit shall be forfeited.
Late start by customer
If Afterglow Events cannot start the setup by the agreed set up start time due to the client or venue not being ready, this can be due to the venue being locked, because the previous event has over-run or the client plans are running behind schedule, or for any reason that is out of our control, Afterglow Events will quietly wait and prepare as much as practical, until such time as the client/venue is ready. We will work with the venue and the client to then set up as quickly as possible and commence usage of the booth thereafter. Under these circumstances Afterglow Events has no obligation to continue later or to refund any money.
Late start/Cancellation by Afterglow Events
In the unlikely event that we have to cancel your booking for any reason, we will refund you all the monies paid including the booking fee, no refund will exceed the invoice amount.
We endeavour to be timely for set up at the start of the event. However, we cannot be held responsible for late starts such as, but not limited to, road closures or adverse weather. Where possible an attendant will contact the person responsible to notify them. Under these circumstances we will run the booth over the allotted time, venue regulations permitting, to make up the correct hire time if possible.
Equipment malfunction
If a problem arises regarding the printer, the photo booth will still be in use and digital photos will continue to be taken. Photos that fail to print will be printed the next working day and sent to the client. If in the unlikely event that the camera or hard drive malfunctions, a partial refund will be given covering the time lost. No refunds will exceed the invoice amount.
Images
The client hereby allows Afterglow Events to display any images included in this contract in their wedding exhibitions/website/social media and advertising, no images of children will be used. No use of the images will be made by Afterglow Events for other commercial reasons except with written permission from the client. The client has the right to opt out. Please indicate to us if you wish to opt out of any or all of the following:

Wedding exhibitions
Advertising
Where Afterglow Events are providing a guest book we will not be held responsible for damage or loss incurred by guests to the book for example ink stains or spilled drinks.
Digital
The digital files will be sent out but remain the property of Afterglow Events. In the unlikely event that the digital images become corrupt, lost or stolen Afterglow Events will compensate up to the total value of £80.
Venue provision
The client agrees to and understands the following:
Children
Children under 9 must be supervised by an adult known to them when using the horse box photo booth.
Client
The client accepts full responsibility for any theft, damages, injury or delays that result in failure to comply with these provisions. In the event of circumstances deemed by Afterglow Events to present a real or implied threat of injury or harm to Afterglow Events staff, equipment, vehicle or any other person, we then reserve the right to cease usage of the photo booth until such a time that the client resolves the threatening situation. Afterglow Events further reserves the right to deny any guest access to the horse box photo booth if showing disorderly/threatening behaviour.
Equipment Damage
Afterglow Events carries full public liability insurance and this covers against accidental damage to the equipment/vehicle. However, if damage is caused deliberately by the client, or any other person attending the event, Afterglow Events reserves the right to charge the client for the full cost of repair/replacement of the equipment/vehicle.
Third parties
The parties do not intend that any term of this agreement may be enforced by a third party as defined in the contracts (rights of third parties) Act1999 under the provisions of that Act.
